Privacy policy

Data collected: username, email, optional avatar, Discord identifier, timezone, language and date of acceptance of the terms of use.

Legal basis: your consent, given by accepting the terms of use at registration.

Discord sign-in: only the identifier, the email and its verification status are kept; the Discord nickname is only used to pre-fill the form. Discord (United States) is involved only at the initiative of the user (sign-in) or of an organiser (webhook).

Applications: the applicant's optional message is deleted with the application, 3 months after it is processed.

IP addresses: they appear in the web server logs, kept for 12 months, and in the rate limiter counters, which expire after a few minutes or hours.

Account deletion: from their profile, users delete their account, unless they are GM of a guild (they must first transfer the role or delete the guild). Deleted: the account, characters, guild memberships, applications, registrations and roster assignments on planned outings, and the avatar.

Kept after deletion: for completed or cancelled outings, the snapshots of registrations and roster (username, character, class, faction, role) and the creator name on the outings they created, as long as the guild exists; their username in the organisers' audit log, for 12 months.
